How the windows actually work.

Three notes from the way the desk books work. Not a newsletter.

Reading the four windows

Rush is the front of the queue: about an hour and a half inside Tampa Bay. Express is the same kind of trip without cutting that line, about three hours. Same-day work ordered by noon is due by 5:00 pm, which is the four-to-five-hour range the desk quotes. Next-day work ordered by 4:00 pm is due by noon the following business day.

The cutoffs are the product. If you call at 12:10 for a same-day, the noon window has closed. Dispatch will put the shipment on the next window that can still make the address — often a rush or an express if the distance allows, or next day if it does not. Say the real deadline. Do not book a window you have already missed and hope the clock is flexible.

Weekend deliveries exist, and they are a separate arrangement. The desk itself is 9 to 5 on weekdays. A Friday 4:00 pm next-day order is a Monday noon delivery, because next day means the next business day.

Sending a courthouse filing

Tell dispatch if the papers still need to be printed. The legal lane covers printing, delivery, federal courthouse filings, and a handoff at a judge’s chambers. The quote needs the case name, the court, the filing deadline, and the number of sets.

A same-day window promises 5:00 pm, not the clerk’s closing time. If the filing has to be in before a morning or early-afternoon counter closes, book rush or express and name that counter time. Give the courthouse entrance you expect, not just the city. “Downtown Tampa” is not a drop.

Chambers deliveries are a different stop from the clerk. If both have to happen, they are two stops on one run. Say that when you book, so the driver is not holding a set that should already have been filed.

Routes, labs, and the post office

A standing route is a set of stops on a schedule you set. Post office retrievals sit on that list. Medical work uses the same idea, or a same-day call: biological samples and supplies, handled as lab material from pickup to drop.

Use the route when the addresses repeat. Use rush when a single specimen cannot wait for the route. Those are different jobs and different prices. “As fast as possible, every day” is a route with a rush window, and dispatch needs to hear it that way.

Airport freight is a retrieval plus a delivery address. The company also runs as a delivery agent for other shippers in Tampa and Central Florida — that is a handoff from their system to a local driver, still booked with this desk, still on a window.
